Flaming Foliage Relay

In consideration for my registration in the 2019 Flaming Foliage Relay (hereinafter FFR"), I understand and agree to the following:

1. As correspondence is exclusively via email, the captain must provide an accurate email address and should whitelist @timberlineevents.com to ensure all important race communications are received.

2. Payment is due with registration and is made with a credit card (left side of payment page), PayPal account), or by check. If you elect to pay by check, you will be sent an invoice with a due date of seven (7) days. Your registration will not be official until your check is received. Your registration will be cancelled if payment is not received by the due date. Payment by checks is disabled within 10-days of price changes and for late registration.

3. The minimum age for participants is sixteen (16) years of age. Participants between the ages of sixteen (16) and eighteen (18), as well as their parent or guardian, must sign the waiver of liability.

4. Any runner substitution or additions made to your 2019 team after the online registration database closes on August 18th will result in a $15 penalty fee per runner - no exceptions.

5. I understand that my team is responsible for picking one of the two volunteer options:

  • Option #1- Supply volunteers: Each 10-person team will supply two (2) volunteers. Ultra teams supply one (1) volunteer. The minimum age for a volunteer without adult supervision is 18 years old. As the relay route is 165-miles long, and is held over a continuous 30 hours, and that the non-profit groups are assigned their locations in advance, I agree our volunteers will be flexible and will be available for any designated location or time period for the relay. If our team does not supply the required volunteer(s), I understand we will not be permitted to start. If any of our volunteer(s) do not show up at their selected assignment by the designated arrival time, I understand our team will be disqualified, will not be able to continue, and agrees to quietly leave the race.
  • Option #2- Tax deductible donation to Volunteers With A Purpose, Inc. - funds will go to local non-profit organizations who will supply volunteers as a fund-raising opportunity for their organization. With this option, your volunteer commitment is filled an you will have no other volunteer responsibilities. Plus, you will be making a much-appreciated donation to a local non-profit organization.

6. I understand my team must be able to complete the course within the 30-hour (30:00) time limit (a team average of a 11:15 per mile pace) based on the start time of the earliest wave.

7. I understand that once registration is paid for, the registration fee is non-refundable, non-transferable, and can not be deferred to another year. However, a new captain can be designated from within the team roster. I also understand that waivers (Acknowledgment And Assumption Of Risk And Release And Indemnity Agreement) will need to be signed and submitted by all runners and if applicable, volunteers and van drivers.

8. I understand that the course for the FFR is held on public roads - there are no road closures, traffic control, or aid stations. Teams are self-supporting! All members of your team must be made aware that there will be vehicle traffic at all times and several of the Exchange Points are along busy roads. I also understand and will inform my team that any road hazards along the course are NOT marked, the route goes through farm and ranch land and unpopulated areas where wildlife lives, and that there are cattle guards and areas of open range (livestock not fenced in). So, caution is required from all runners and drivers.

In consideration of this, Timberline Events LLC will do everything in its power to hold the relay as advertised. Due to the nature of the event, extenuating circumstances, not under the control of the event organizers, may necessitate course changes, or even cancellation for the safety of the participants. These circumstances include, but are not limited to: weather and other forces of nature, last minute road closures and construction, floods, or forest fires. As the event has already had many expenses that can not be recouped, if any of these events do occur, I accept that no refunds, credits, or discounts for future races will be offered.

I also understand that the FFR route is both rural and isolated and that 911 emergency treatment will not be immediately available.

Please initial your understanding and agreement of the public nature of the roads of the FFR course, of the rural location and conditions that exist on and in the area of the FFR route, that EMS response time is affected by the location of the relay route, and possible course changes or event cancellation can result if circumstances call for it, and no refunds, credit, or future discounts will be offered.

9. I understand that as the captain, I am responsible for informing my team of the rules of the FFR, that everyone on the team will follow the published rules, that any costumes or van decorations will be in good taste, and for the behavior of my team. This includes, but is not limited to respect for all participants and volunteers, quiet zones in or near residential areas, that team vehicles and runners are not exempt from state and local traffic laws, and that private property is being used by the FFR and must be respected. Failure to abide by the relay rules may, at the discretion of the race director, result in immediate disqualification. I also understand that the FFR, for safety concerns, has a strict No Headphones policy and immediate disqualification will result for the entire team for any active runner caught wearing headphones or earbuds. Immediate disqualification means that my entire team cannot continue and must leave the race quietly. This rule is due to the course being on open roads where there is traffic, and is a rule enforced in other events held on open roads such as triathlons.

Please initial your understanding and agreement of team etiquette, needing to follow traffic laws, and the No Headphones policy. You also agree that if your team is disqualified for any rule infractions, your team will depart from the race in an orderly manner.

Only teams choosing Volunteer Option #2 for the non-profit volunteers are required to make a tax-deductible donation to Volunteers With A Purpose based on the following schedule:

The donation amount was increased in 2018; this is the first increase since the non-profit volunteer program was started in 2005. The donation is based on just $35/runner for 12-person and Ultra Teams.

*A team can decide to change from Volunteer Option #1 to Volunteer Option #2 up until 2 months before race day without penalty - you need to contact the race director to make this switch. Once a team selects Volunteer Option #2, no changes can be made.

*** Teams who selected the option to supply their volunteers may choose to make a donation for individual non-profit volunteers if they are having problems filling their requirement. This option is only available if additional non-profit volunteers are available. The first price is if the request is made less than two months but more than three weeks before race day; the second price is if request is made within three weeks of race day.

At some point, we may run out of available non-profit groups. In that case, the non-profit option will no longer be available when a team registers, and teams will have to select the "Supply Volunteers" option. Teams can elect to be added to a waiting list in case we are able to find additional non-profit groups to participate.

If your donation is not made by the due date, a 10% late-payment penalty will be added.

As the Captain entering a team into the FFR, I agree to and understand all that has been stated above.
